Responsibilities

Provides primary support with all facets of clerical, administrative, agendas, planning, presentations and calendar items for the Managing Director. Prepares agendas, schedules and organizes meetings for the Managing Director to ensure all related/required needs are met to maximize the time & effectiveness for internal & external customers. Sorts and distributes all financial purchase order reconciliation for the Managing Director's review and approval. Maintains files and document retrieval, record keeping and reports. Provides primary support with 'issue/need assessment' to manage scheduled & unscheduled visitors/guests/co-workers as required in their interaction with the Managing Director. Maintains office contact information, phone list, organizational charts and other related reports. Responsible for answering phone calls, maintaining calendar and taking messages for the Managing Director. Assists the Managing Director in the planning & management of schedule/calendar. Handle confidential and non-routine information. Works independently and self directed within all areas of responsibilities to include special, nonrecurring and ongoing projects. Assist with organizing special events tied to the Managing Directors calendar events to include the manager's bi-monthly meetings and the monthly employee appreciation days. Type and design general correspondences, memos, charts, tables, graphs, etc. Compiles, sorts, prints and organizes daily operational metrics and shift reports. Works collaboratively with the Human Resources and Finance clerical staff with support needs to/from the Managing Director.

Qualifications

Minimum of 3 years experience in general office responsibilities and procedures. Proficient in Word, Excel, Outlook and PowerPoint - able to pass recruitment administered Microsoft applications test. Ability to interact and communicate with individuals at all levels of the organization effectively. High school diploma/GED or equivalent required.  Attendance requirements for current active and inactive employees: Continental Airlines employees must have 2.5 points or more remaining. Chelsea Food Services employees must have 4.5 points or less. Excellent math and reading skills with strong aptitude for detail. Ability to multi task and complete tasks in a timely manner. Ability to work flexible hours to include weekends and holidays. Must be able to speak, read and write English fluently. Ability to pass a 10-year background clearance, FAA security access and U. S. Customs. Must be legally authorized to work in the US for any employer without sponsorship.
